Cancellation & Withdrawal Policy

This Cancellation & Withdrawal Policy applies to services provided by Ground Health to clients located in the Netherlands. It should be read together with our Terms and Conditions and forms an integral part of the agreement between you and us.

This policy explains:
Your right of withdrawal under Dutch and EU consumer law
How cancellations and rescheduling are handled
When refunds may or may not apply
It reflects the requirements of the Dutch Civil Code (Burgerlijk Wetboek) and EU Directive 2011/83/EU on consumer rights.

When services are booked online, by email, or otherwise at a distance, a distance contract is formed.
Under Dutch and EU consumer law, consumers generally have a 14-day right of withdrawal, starting from the day the contract is concluded.

The statutory right of withdrawal does not apply, or may be lost, in the following situations:
Services that are scheduled for a specific date or period
Services that have begun with your explicit prior consent before the end of the 14-day withdrawal period, where you have acknowledged that the right of withdrawal is lost once performance begins
These exceptions will be clearly indicated during the booking process, and your consent will be recorded where required by law.

For one-off sessions such as introductory or exploratory conversations:
You may cancel or reschedule free of charge up to 48 hours before the scheduled start time
Cancellations made less than 48 hours before the session, or failure to attend, are generally non-refundable
This reflects the reservation of time specifically for you.

For programmes consisting of multiple sessions or a defined duration:
Specific terms, including pricing and any deposit requirements, will be provided at the time of booking
Once a programme has commenced, fees paid are generally non-refundable, except where mandatory consumer law provides otherwise
If you choose to discontinue participation early, remaining sessions will not take place, and no further fees will be charged beyond what has already been agreed.

For retreats, workshops, or events scheduled for specific dates:
Bookings are binding once confirmed
Deposits are generally non-refundable, unless otherwise stated in writing
Refunds of balance payments may only be possible if cancellation occurs sufficiently in advance and if costs have not yet been incurred
The exact cancellation terms for each event will be communicated prior to confirmation.

We may cancel or reschedule services in circumstances including, but not limited to:
Safety, ethical, or suitability concerns
Insufficient participation
Illness or circumstances beyond our reasonable control
In such cases, you will be offered either:
An alternative date or rescheduled service, or
A refund for the cancelled portion of the service

We recognise that unforeseen circumstances may arise.
In cases such as serious illness or emergencies, we may, at our discretion, offer rescheduling or partial refunds. Any such accommodation is assessed case by case and does not constitute a general entitlement.

For withdrawal requests, the notice must be sent within the applicable 14-day period. The effective date is the date on which your notice is received.

Where refunds apply:
Refunds will be made using the original method of payment
Refunds will be processed without undue delay and, where required by law, within 14 days of the valid withdrawal notice
Payment provider processing times may vary.
